COVID UPDATES: Since we are a large farm of many acres, we are leaving COVID rules and regulations up to the booking photographer, as they will be the ones in close contact with their clients.
Q: I saw a session on the website that was available yesterday and now it does not appear today. I have scheduled clients on a day that I had not booked and now it is not available, what can I do? A: It is HIGHLY recommended that photographer's book with us BEFORE they advertise hosting sessions on our farm. This ensures that the photographer will have a reserved spot with us, because once a slot is unavailable, it remains unavailable.
Q: What is the latest I can book a session? A: Booking must be made two weeks prior to the photographers intended shoot date. This ensures that we are able to adequately staff the property. No bookings will be allowed with less than a 2 week notice.
Q: I booked a Single Family Session but want to photograph more than one family. Is this allowed? A: A Single Family Session is specifically designed to photograph one family only. If you have more than one family to photograph, you need to email us, firstname.lastname@example.org, in order for us to check our availability in order for us to upgrade your Single Family Session to a Half a Day Package or a Full Day Package.
Q: I am not a professional photographer but I wanted to take photos, do I still need to book a session? A: You would need to purchase a single day session on our website in order to take pictures with a camera on our farm. Unfortunately, we still have to pay Santa's helpers to maintain the Christmas Trees, our farm; cutting the grass (and there is a whole bunch of it), and our staff to check people/photographers in and out of our farm. Therefore, sadly we are not able to offer free services. However, families are more than welcome to take photos with their cellphones on our property during our regular business hours, please see our website, for dates/hours of operation. Q: How can I book? A: You can complete our booking process via our website by visiting our Photographers booking page.
Q: What is the booking process like? After you pick the time(s)/date(s) through our system you will be prompted to fill out your information as well as pay through PayPal. You will then receive a confirmation email. Please note Photographers must provide a list of all clients (first and last name) as well as their (and their clients) expectant time of arrival prior to their appointment. Email prior to appointment must be given to the employees 48 hours prior to the scheduled time slot.
Q: How much time am I given for setup? A: You are able to arrive onsite up to twenty minutes prior to your time slot. Five minutes are reserved for checking in with us on property, fifteen minutes are reserved for you to set up the perfect spot to shoot.
Q: Do I need to check in with anyone when I arrive? A: An employee on site will check you in. Photographers must provide a list of all clients (first and last name) as well as their (and their clients) expectant time of arrival prior to their appointment. Email prior to appointment must be given to the employees 48 hours prior to the scheduled time slot. A staff member will be able to direct your clients to your specific location of your choice.
Q: What if I forget my Expected Client List? A: Absolutely no photographer will be allowed to photograph without having given this information to Lebanon Christmas Tree Farm. Access to Lebanon Christmas Tree farm is strictly controlled and limited to photographers and their clients only. No clients will be permitted access on property unless they are on the list provided by you.
Q: Is there parking on site? A: Parking is free. Each Photographer will choose which field they would like to set up in. Each field is named. Families will be directed to the field in which each photographer is set up in.
Q: May I visit the Farm unannounced or just to look around prior to booking? A: No. Access to Lebanon Christmas Tree Farm prior to selling season will be strictly controlled and limited to booked photographers and their clients to provide everyone with the best experience possible. As an alternative, please feel free to book via our website to set up a Promotional Session. A Promotional Session will allow the photographer to; view our farm, find the perfect set up spot, test the lighting of your camera, as well as have beautiful photos to advertise your upcoming mini session(s).
Q: What if my photo session goes over in time? A: Departure of 15 minutes is allowed. If the photographer goes over his/her scheduled photography session by more than fifteen minutes, then he/she will incur an additional $50.00 fee authorizing one additional hour added to the originally scheduled session. This fee is to be paid in full via cash or credit card at the start of the additional hour and prior to any additional photography past the originally scheduled session. This will apply for each additional hour past the originally scheduled session. The photographer will have to sign an over time agreement prior to admission on property.
Q: Can I have another photographer with me to help me with props or taking pictures? A: Each session is reserved for one photographer only, however, if you need assistance with props or an assistant, email us prior providing his/her full name. It is also noted that he/she will only be able to assist the photographer and not be taking pictures.
Q: Are there restrooms for my clients? A: There is an outdoor Porter Potty.
Q: May I bring my pets? A: Yes, however all pets must be picked up after as well as leashed at all times.
Q: Can we book any time slots outside of those listed? A: Unfortunately, Only the listed time slots are available.
Q: May we schedule a photo shoot during Christmas Tree season? A: Booking is only between October 1-November 20. We do not allow photographers on our farm during the WEEKENDS of selling season. However, photographers are able to schedule sessions during the WEEK (Monday-Thursday) of selling season.
Q: Can I book a Promotional shoot without having a regular 4hr+ shoot? A: No, Promotional shoots must be purchased as an add-on to a regular shoot. The date and time of the promotional shoot is scheduled separately from the regular shoot via email.
Q: May I reschedule my photo shoot? A: Rescheduling is not allowed. Reservations are strictly limited to facilitate the best experience possible, therefore if an appointment must be rescheduled you will need to contact us in order to book a new day at full price. It is imperative to make sure you choose the correct dates upon booking your reservations.
Q: What if I do not show up for my shoot? A: Unfortunately, a no show takes the spot of another potential photographer who could have booked with us. Therefore, a no show will not be refunded. The photographer must schedule and pay for a new date/time if they would like to rebook with us.
Q: What is our cancellation policy? A: Unfortunately, a cancellation takes the spot of another potential photographer who could have booked with us. Therefore, a cancellation will not be refunded. All bookings are nonrefundable.
Q: What if it rains? A: If inclement weather is reported 24hrs before your time slot then the photographer will be able to contact us in order to reschedule to a day that works for both the farm as well as the photographer at no extra charge. The photographer will also be prompted to choose a desired back up rain date if rain does incur during our booking session! Please Note that a rain date is reserved for rain only. You will not be able to use your rain date for any other reason other than inclement weather. No refunds or exchanges will be issued due to rain, therefore it is imperative to choose a rain date.
Q: How many photographers will be on the farm when I am? A: We only book a select number of photographers during the same time slot. By limiting the number of photographers we are able to offer a greater experience to each photographer.
Q: Will I have enough room to shoot? A: Our farm is 30 acres of Christmas Trees. Therefore, there will be plenty of room for each photographer to find the picture perfect spot.
Q: What do I need to do in order to get in touch with someone on the farm while I am on site? A: There will be an attendant on site who you can contact or please call us at 843.688.5088.
Q: Can I bring props for my sessions? How big? A: Props are more than welcome on our farm. We have had clients bring china cabinets, wooden stands, all the way to couches. If the prop is the size of a car or bigger, the photographer must inform Lebanon Christmas Tree Farm prior to photo shoot. Lebanon Christmas Tree Farm will not be held liable or responsible for broken or lost items/props on LCTF property.
